Job Title: Office Manager/Administrative Assistant
Reports To: Sr. Vice President Operations Solutions
Position Type/Expected Hours of Work: This is a full-time position. Standard days and hours of work are Monday through Friday from 8 a.m. until 5 p.m.
Summary Description of Job Title
The Administrative Assistant is the face of our company performing a variety of administrative and clerical tasks. This position provides assists in daily office need and activities, including operating as receptionist, coordinating various tasks for building management and clerical activities as well as assisting the Inventory teams with a variety of routine tasks and reporting.
Primary Job Duties & Responsibilities
1. Answers and directs phone calls to appropriate departments through main console switchboard
2. Greet visitors with helpful attitude and directs to appropriate department/person, maintains visitor log
3. Sorts and distribute incoming mail and packages, prepares outgoing mail and overnight deliveries.
4. Orders and maintains company office supplies, approves office supplies for remote locations
5. Helps to maintain workplace preparedness and professional image by ensuring office is clean and organized
6. Prepares meeting and conference rooms for any company event/meeting – orders food, drinks and returns rooms to prior condition following meetings.
7. Assists with a variety of administrative tasks, including but not limited to copying, faxing, taking notes and making travel plans if requested from Executive team
8. Prepares office events such as birthday, holiday, event celebrations including any coordination/communication, decorations, ordering food and beverage as needed
9. Assist Inventory Team in processing all daily stock orders for all locations, including tires (as directed), filters, fluids and other product lines as determined necessary, on timely scheduled basis
10. Assist Inventory Team in creating and logging month end reports including but not limited to Inventory value reports, Adjustment reports, Outside Purchase, Core, Returns, and Warranty value reports.
11. Assist in refresh of store stocking levels of tires, filters, wipers, all fluids, and any other applicable product lines on scheduled basis as needed by creating reports, modify stocking levels, adding additional part numbers, returns and other related activities, or adjusting for seasonal stock as directed by Inventory Team.
12. Assist with product inventory pricing and price files in RO Writer and Navex POS systems and on Franchise Business Centers working with Inventory Team as needed
13. Any other special projects as required and assigned
Required Educations/Experience
- High school degree minimum: Additional experience as an Administrative assistant or Office Manager preferred
- Knowledge of office management systems and procedures
- Dependability is key
- Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
- Excellent time management skills and ability to prioritize work
- Strong organizational skills with the ability to multi-task
Compensation: $19.00 - $20.50 per hour
